Before delivery

Each programme should have a written scope covering the activity, participants, venue, equipment, supervision, accessibility, safeguarding, emergency arrangements and intended outcomes. A generic description is not a substitute for a site- and activity-specific risk assessment.

Roles and cooperation

The Hwb Collective and the host should agree who controls the premises, supervises participants, provides first aid, reports incidents and can stop an unsafe activity.

Practical STEM controls

Tools, materials and processes should suit the age, ability, environment and competence of the group. Controls may include demonstrations, safe systems of work, restricted equipment, protective equipment, ventilation, inspection and appropriate adult supervision.

Reasonable adjustments

Risk management should enable safe participation rather than assume exclusion. Adjustments should be discussed without collecting unnecessary medical information.

Incidents and learning

Accidents, near misses and concerns should be recorded, escalated and reviewed. Statutory reporting, insurance notification or partner procedures should be followed where applicable.

This summary does not claim that every proposed activity has already been risk-assessed. A programme is only ready when the specific assessment, competent staffing, venue arrangements, equipment controls and insurance position are confirmed.
