Governance and statutory records
Directors’ meeting minutes and written decisions are retained for at least 10 years. Member resolutions and statutory registers are retained for at least 10 years or for the life of the company where required.
Financial and grant records
Accounting records and supporting evidence are retained for at least six years from the end of the relevant financial year. Grant agreements and monitoring records are retained for at least six years after the grant ends, or longer where a funder requires it.
Contracts and insurance
Contracts and supplier agreements are retained for at least six years after expiry. Insurance records are retained for at least six years after expiry and longer where a claim may arise.
Safeguarding records
Safeguarding records are retained only as long as necessary in line with safeguarding guidance and legal duties. Access must remain restricted and disposal must be secure.
CV Builder records
Inactive CV Builder records are archived after 12 months and permanently deleted after 24 months. A participant can use the secure deletion route or contact the organisation to request earlier deletion. This schedule must be reviewed if the deployed service, legal duties or an agreed school or council arrangement changes.
Secure disposal
Digital information should be securely deleted and paper records securely destroyed when the approved period ends, unless a legal duty, active dispute, safeguarding need or funder condition requires longer retention.
